Q: How Can I Place Guests on a Waitlist?
- Is there a Waitlist feature?
- Can we create a waitlist if we have interest beyond our max quantity?
A: While the system doesn’t include a built-in Waitlist feature, you can easily create your own by creating a $0 Waitlist ticket type. This allows guests to reserve a spot in line without being charged, and gives you the flexibility to offer regular tickets as they become available.
Here’s how to set it up:
- Create a Waitlist Ticket Type
Set up a ticket called something like “Waitlist Ticket” and price it at $0. Make it available Online so guests can “purchase” it to hold their place on the waitlist at no cost. Be sure to set a quantity high enough to meet potential demand.

- Move Guests to Standard Tickets When Space Opens Up
Go to your Tickets page and sort or filter to find guests who selected a waitlist ticket. Click the Order icon next to their name, then exchange their $0 Waitlist ticket for a standard admission ticket within the order.

- Invite Guests to Complete Their Purchase
After exchanging the ticket, if you'd like to collect payment for the admission ticket, you can send them an Invitation to Self Check-Out from the Orders page. This allows them to complete payment and confirm their spot at the event.

Pro Tip:
You can customize the top of your Registration page with a message letting supporters know that tickets are currently sold out, along with instructions for reserving a spot by selecting a Waitlist Ticket.
To add a message to the top of the Registration page,
- Go to the Tickets page,
- Click the green Sell A Ticket button,
- Then click on the blue Edit Text link at the top of the page.

To test Online Ticket Sales on your site and see what your supporters will experience:
Here’s a suggested process for testing:
1. Log out of your event site.
2. Go to your Homepage and click the Buy Tickets button/link.
3. Once on the Registration page, select a ticket type and/or sponsorship from the available options.
4. Enter the ticket buyer’s information
(you MUST enter a name and email address that isn't associated with a role (Chair, Admin) on the site to simulate a guest purchase.)
5. Follow the prompts until you reach the Payment page.
6. Click the Exit Sale link to cancel the transaction—this allows you to test without completing a real purchase -OR- complete payment.
