Creating Ticket Types + Video
You can create different ticket types by defining when and where each will be sold, how many people will be admitted using the ticket, the cost and the number available for sale.
Important: Tickets are the mechanism for issuing Bidder Numbers and providing a digital "cart" for check-out so:
- All Bidders at a Gala event must have a ticket and
- Non-admission tickets (such as Raffle, pre/post event parties etc) must be set up as items, available as add-on purchases during the registration process as the software will try to block supporters from having more than one ticket and bidder number.
To Add or Edit Ticket Types:
- Go to Site Settings > Registration > Tickets > Ticket Types
- Click Add New (or Edit) button
- Specify:
- Ticket Name
- Price and Fair Market Value (FMV)
- How many guests are admitted with the ticket
- How many of this ticket type are available
- Whether you want all the guests on the ticket to share a bidder number or not
- Where and when you want to offer/sell this ticket type.
4. Click on Advanced Settings to set up a coupon/discount code for this ticket type.
Examples of commonly used ticket types:
Your site has the most common ticket types set up as default entries which you can edit or delete as desired. Described below are some additional common types (only the variations and atypical settings are noted).
Early Bird: Encourage guests to buy tickets in a timely fashion by setting up ticket types with prices that escalate as event nears.
For example:
- $40 Early Bird (ends 30 days prior to event)
- $50 Regular
- $75 Tickets at Door
In addition to getting guests to commit early, the early money can be used to cover event costs, and "early" attendees can help sell their neighbors on the idea of coming to your event.
- Priced at a discount
- Specify an end date for selling the discounted tickets. It's also a good idea to edit the regular tickets' dates to start selling only once the Early Bird options have expired.
Tables: Only setup Table ticket types for tables which will be purchased and paid for by one individual or business. Use these instructions if you have Table "Hosts" and/or want supporters to buy their own tickets but share a table.
- Price = total admission costs for all table guests.
- FMV = total FMV for all table guests.
- specify the number of guests admitted. If you have different size tables - create a ticket type for each size - unused tickets cannot be "removed" from a table but you can exchange one size table for another.
- Do NOT link the table guests to share a bidder number. Table guests will be assigned their own bidder numbers and pay for their own event night purchases/won items.
- Very few table ticket buyers will know who their guests will be when they purchase the ticket. When tables are sold, email the buyer an Invitation to Buyers to Provide Guest Info to provide them with a live link to manage their guest list. When buyers modify their guest list, the changes are reflected on the Tickets Page - and notifications are sent to the email provided at Site Settings > Registration > Tickets > Online Ticket Sales.
Wrist Bands/Activity Passes/Raffle Tickets/After Parties etc:
- Be aware that Ticket Types are designed for admission and will issue a bidder number for each guest on a ticket. If bidder numbers are irrelevant to your event, then you can set up tickets for whatever you wish to sell and simply ignore the bidder numbers. If you will be using bidder numbers for an auction component, then create Ticket Types for admission/bidder tickets only and sell all other "add-on" tickets as Sellable Items available during registration and/or check-in instead.
Sponsor a Teacher:
We recommend setting these up as Items for sale during ticket purchase rather than as an admission ticket.
Advantages of selling as an add-on item:
- Ticket orders (and thus tickets) have buyer information embedded in the record. Since your goal is to offset the cost of teacher tickets, selling as items allows you to collect the revenue in an anonymous (to the teacher) manner.
- Avoids the expectation that someone is sponsoring a particular teacher.
- Allows you to create and assign the number and type of tickets you need for attending teachers (and their guests) and/or allows teachers to signup for their own free/discounted tickets using a coupon code - rather than searching for available sponsor tickets that must be edited to assign.
