Add a Silent Auction (paper bidding)
Adding an ancillary silent auction (with paper bidding) to your event is fairly straightforward for ticketed events.
If your event is not ticketed and the silent auction is small, a workaround is provided below to allow the public to place bids using a name/phone number.
Instructions for Ticketed Events:
Registration Tips:
- If you are issuing multi-person tickets (eg Golf Foursome), do not set up the ticket type to share a bidder number unless you want everyone on the ticket to share a cart/bill. Instead, allow separate bidder numbers to be issued to each person and manually link couples that want to share a cart/bidder number.
- If your event offers tickets for the main event AND a banquet/dinner/silent auction only option - each option should be setup as a mutually exclusive ticket type rather than an add-on item to ensure each participant is issued a bidder number. You can offer as many options as you need - the goal is to set them up so that each person is issued one (and only one) admission ticket/bidder number. For instance: Golf tickets, which include dinner/silent auction and Dinner/Silent Auction Only tickets. Guests on different tickets can be manually linked ahead of time, or at check-in, to share a bidder number with another guest.)
Silent Auction:
- Enter silent auction items in the catalog
- For small silent auctions, it's not necessary to renumber and manage items across multiple tables and closings within the software - instead, layout the items as desired and use table signage to indicate closing times.
- Print Bid and Description Sheets
- When bidding ends, gather bid sheets and record the winning bids to place items in the winners' carts.
- Choose how you want your guests to check-out and pay for their purchases.
- Organize Will Call to deliver items to winners.
Workaround for Non-Ticketed Events:
IF your silent auction is small, with only a small portion of guests expected to win an item - you can allow the public to place bids using their name/phone number or email rather than bid numbers, but awarding the winners will require extra effort on your team's part.
Registration is not necessary - only winning bids/bidders will be recorded. If you collect name and email from bidders, you will be able to notify winners not present at the end of the auction via email - with a link to pay.
Silent Auction:
- Enter silent auction items in the catalog
- For small silent auctions, it's not necessary to renumber and manage items across multiple tables and closings within the software - instead, layout the items as desired and use table signage to indicate closing times.
- Print Bid and Description Sheets Workaround: Create and cover the "Bid #" column header with a "Phone # or "Email" sticker.
- If winners are present when bidding ends: Ask winners to collect the bid sheets on items they won and bring them to the check-out station. Use the Point Of Sale (POS) feature to record their purchases, process payment, and print/email a receipt.
- If winners are not present: Collect the bid sheets and Create an Order/Cart for each winner, adding the items they won. If you collected email addresses, Email an invitation to Self Check-out to provide a link to pay. Edit the Invitation template and/or Receipt to provide instructions for picking up the items they won. If emails were not collected, use the phone number provided to contact each winner to arrange for payment and pick-up/delivery of their items.
