Linking (Unlinking) Guests to Share (Not Share) a Bidder Number
In this article, you’ll learn how to Link or Unlink guests to share—or not share—a bidder number for your event.
It covers multiple ways to manage linked guests, including automatically when selling tickets, manually from the Ticket Page or Site Settings, and during check-in.
There are several ways to link guests so they share a bidder number:
- Link automatically at ticket sale by creating a Couples ticket and checking the box "Share one bidder number for all guests on this ticket (Auto Linking)?"
- Link/Unlink prior to event from Ticket Page or Site Settings (shown below).
- Link during check-in.
Note: Guests cannot be Linked/Unlinked once they have checked-in. If you are certain they have not placed any (paper) bids using their bidder number, you can Undo Check-In on the Ticket Page (see below).
To Link/Unlink Guests on Tickets Page:
To Link or Unlink Guests:
- Go to the Tickets page.
- Select the guests by checking the box next to their names.
- Click the Bulk Actions button.
- Choose Link Users or Unlink Users as needed.
To Link/Unlink Guests from Site Settings:
Go to Site Settings > Events > Gala Auction > Manage Linked Guests.
To Link Guests:
- Enter the guest’s names (or bidder numbers) in the search field.
- Select the desired user.
- Click Link Guests.
To Unlink Guests:
- Locate the appropriate bidder number/guest names.
- Click Unlink
To Undo Check-In:
To Undo a Guest’s Check-In Status:
- Go to the Tickets page.
- Click the Edit icon next to the guest’s name. Select Edit User Details for the ticketed guest.
- Uncheck the box next to Guest Checked In?
- Click Update Selected User to save your changes.
Note: Removing the Checked-In flag does not affect the guest’s stored credit card, but it will remove their bidder number if one was assigned at check-in.
Note: "undoing" check-in will not affect the user's stored credit card or other user information - it merely removes the lock on their bidder number.
