New! Setting up Items with Variant Options (Plus/Professional)

Plus/Professional subscribers can now collect additional information from buyers when they purchase fixed-price items using Item Variant Options.

Items with Variant Options allow buyers to select from a predefined list of choices during checkout. Ideal for collecting information, like:

Color or size selections for merchandise
Date/time options for ticketed performances
Pricing tiers (e.g., adult/student, large/small, etc.)

When setting up Item Variant Options, you can:

Set inventory levels for each unique option combination (for example, Medium/Blue or Large/Red).
Track available quantities separately for each option combination.
Allow unlimited inventory for pre-order items when quantity limits are not required.

Items with Variant Options:

Items with Variant Options allow buyers to select from a list of choices during checkout. These display as dropdown menus.

To Set Up an Item with Item Variant Options:

Go to the Catalog page
Click the Add an Item button or an Edit Icon next to an existing item
Select a valid Item Type - Sellable, Signup, and Raffle,
Check the box next to Item has Variants (size, color, etc.) to expand the form
Enter the label(s)/name(s) of your Variant(s)
Next, specify the combination of variables available - individually by clicking on the Add Option button or using the Add Bulk Options button/form.
Drag and drop the options created into the desired display order.
Click Save
After saving the item, images can be added to specific options, if desired. When a buyer chooses an option, the associated image will display.

Steps 1-5 Setting Up an Item with Variants:

Step 6A. Adding Combinations Individually:

Click on Add Option button to expand the form
Specify the Option's, Qty, Price, FMV
Repeat as needed.

Step 6B. Adding Combinations in Bulk:

Click the Add Bulk Options button to specify the options for Variants 1 and 2 (eg S,M,L and Red,Blue,Yellow. When adding multiple Options to a Variant separate with a comma no spaces.)
Complete the Qty, FMV, Price fields if you want them shared across all option combinations
Click the Create All Missing Variant Combinations button to generate all combinations of the specified variants.
Review and edit Qty,FMV and Price fields, as needed.

Key details to keep in mind:

Item Variant Options are available only for fixed-price item types - Sellable, Signup, and Raffle.
Each fixed-price item can include up to 2 Item Variant Options and/or 2 Item Custom Text Fields.
If a Variant Option field is left blank, it will be omitted.
Leaving the Total Qty field blank sets that specific Variant Option to Unlimited inventory.
Edits to Item Variant Options apply to future transactions only and do not affect past orders.
Variant-specific images can be added to Item Variant Options after the options have been created and saved.
Sold Item Variant Options cannot be deleted from the item, but they can be hidden by unchecking the “Active?” checkbox.
To reorder how options appear to buyers, drag the arrow on the left side of the option row into the desired position.
Inventory is tracked at the option level (not the item level), and quantities can be viewed and updated from the item’s Edit Item page.
Information collected can be viewed on individual Orders and Receipts (always display), and can be added to the Will Call Report and all other Sales Reports using the Customize button.
