Setting Up Self Check-In

You can invite guests to check themselves in online prior to your event by sending them an email invitation with instructions and a link to their ticket account.    

Following the link will allow them to enter/update their contact information, store a credit card for the event and print out their bidder number (optional) and any other materials you provide.  

You can view the check in progress from the Tickets page and send additional prompts/invites if desired. 

Plus, Professional and Acorn subscriptions can add a "Start Bidding" button to the confirmation screen to allow guests to bid on online/mobile items after completing check-in. 

To Set Up the Self Check-In Feature:

Go to Site Settings >  Events > Gala Auction > Self Check-in Settings.

Checking the box next to “Turn on Self Check-In?” enables the Self Check-In Invite option to appear in the Bulk Actions dropdown menu on the Tickets page under Email Selected Users. (Please note that this option will only appear if credit card processing has been set up on your site.)

You can choose additional elements to include in the Self Check-In invitation:

  1. Bid Number PDF: Include a printable bidder paddle so guests can print their bid number at home.
  2. Favorites List Link: Provide a link to each guest’s Favorite Items List in the email and on the confirmation page after check-in.
  3. Start Bidding Button: Add a button on the confirmation screen that directs guests to the Online/Mobile Catalog once they complete Self Check-In. (This feature is only available for Plus, Professional and Acorn subscriptions)
  4. Stored Card Settings: Credit card storage can be set as optional or required for self check-in.

By clicking on the Advanced link you can further customize Self Check-In:

  • Add custom text to the top of the Self Check-In screen, above the check-in form.
  • Add custom text to the top of the Confirmation page.
  • Select files you would like guests to receive after they successfully check in.

Note:  Default language/settings allow this feature to be functional once feature is turned on and notification email address is provided. We recommend  previewing the process by inviting yourself to check-in, retrieving the email and following the instructions. Previewing the process is an easy way to see where the editable elements appear and to follow the instructions within the default text in context.
