Previewing the Self Check-In Process + Video
You can invite guests to skip the lines by checking in online prior to your Gala auction. You can preview the self check-in and self check-out processes in this video.
The Self Check-in feature has default language which allows you to simply turn it on and start using it, but it can also be customized for your unique event. For a more detailed preview, we recommend starting with a trial: invite yourself to check-in, then follow the steps. You'll see how it works, and can also review the default messaging in context so you'll have a better idea of how you'd like to personalize it for your event.
To Turn on the Self Check-In Feature:
Go to: Site Settings > Events > Gala Auction > Self Check-in Settings
Checking the box next to “Turn on Self Check-In?” enables the Self Check-In Invite option to appear in the Bulk Actions dropdown menu on the Tickets page under Email Selected Users. (Please note that this option will only appear if credit card processing has been set up on your site.)
You can choose additional elements to include in the Self Check-In invitation:
- Bid Number PDF: Include a printable bidder paddle so guests can print their bid number at home.
- Favorites List Link: Provide a link to each guest’s Favorite Items List in the email and on the confirmation page after check-in.
- Start Bidding Button: Add a button on the confirmation screen that directs guests to the Online/Mobile Catalog once they complete Self Check-In.
- Stored Card Settings: Credit card storage can be set as optional or required for self check-in.
By clicking on the Advanced link, you can further customize Self Check-In:
- Add custom text to the top of the Self Check-In screen, above the check-in form.
- Add custom text to the top of the Confirmation page.
- Select files you would like guests to receive after they successfully check in.
To Invite Yourself to Check-In Online:
- Go to the Tickets page
- Check the box next to Your Name
- Click the Bulk Actions button and select Email Selected Users
- Scroll down and choose Send Invite to Self Check-In
You (Guest) Will Receive an Email Invitation to Self Check-In:
The invitation includes an embedded link that takes them directly to their account to complete the check-in process.
The Invitation to Self Check-In can be edited to include custom instructions or messages.
To do that:
- Go to: Site Settings > Events > Gala Auction > Self Check-In Settings
- Under the Manage Emails section, click the Self Check-In Invitation button.
(Note: Be sure to leave a space between any text or punctuation and the [invite_code] merge tag.)
The Link Will Take You (Guest) Directly to the Self Check-In Form:
- Any custom text added to the Custom Text for Self Check-In Page will appear at the top of the check-in form.
- If Custom Fields are visible on Guest Info Forms, they will display for ticketed guests and can be edited by the user. (*See instructions below for removing custom fields from the Self Check-In Guest Information form.)
- You can choose whether to require or request guests to store credit card information to check in early. Note: If you require a credit card, any guest who opts out of storing their card will not be able to complete the Self Check-In process.
*To remove Custom Fields from the guest Self Check-In Form:
- Go to Site Settings > Customize Your Site > Look & Feel > Custom Fields.
- Click the Edit button next to the appropriate Custom Field.
- Under Apply these to:, uncheck the boxes next to any Guest forms.
- Click Save.
To remove Table and/or Seat fields from the guest Self Check-In Form:
- Go to Site Settings > Registration > Tickets > Customize Registration Forms.
- Click the Edit Guest Fields button.
- Uncheck the Display boxes for Table/Seat fields.
- Click Save.
A Confirmation Screen Will Pop-Up After You (Guests) Self Check-In:
- Any custom text added to the Custom Text for Confirmation Page field will display at the top of the confirmation page.
- When Include Bid Number PDF in Email and on Confirmation Page is enabled, a link to print the bidder number will be displayed.
- If files are uploaded on the Self Check-In Settings page under the Advanced link, they will appear for guests on the confirmation form in the Your Check-In Information section.
- When Direct guests to Online/Mobile Bidding after Self Check-In is enabled, a Start Bidding button will appear at the bottom of the confirmation screen.
