Manually Awarding Online Silent Items

This article explains how to manually award online bidding items. You can set your site to auto-award online-only items to their high bidders, but, even when that feature is enabled, certain items must still be manually awarded, including:

Online items that transferred to paper bidding but received no paper bids
Secret (aka Closed or Blind) bidding items
Online silent items with quantity > 1

For Online to Paper Bidding Items with No Paper Bids

Go to Catalog > click on Item Name

For Secret Bidding and/or Online Items with Qty > 1

When bidding group has closed, Go To Auction Night > Online/Voting Tasks > X Online Item(s) Must be Manually Awarded

This button also displays:

On the Catalog page admin view (shown below)
At Admin > View Dashboard
On the Orders page
At Auction Night > Go to Mobile Dashboard

To Award Online Items to Multiple Winners

Online silent items with multiple quantity must be awarded manually. The manual award process provides the tools needed to review eligible bids (and edit as necessary) before awarding to multiple bidders.

Important! We do not recommend offering items to be awarded to the Top X bidders via Max bidding. The Max bidding automation is designed to ensure bidders remain the highest bidder (up to their stated limit) while most bidders would prefer to only raise their bid amount once they fall out of the top X bids.

Also, be aware that outbid notifications will be delivered when a bidder is no longer the high bidder only.

Tip: The quantity available is NOT displayed to the public - if you want bidders to know how many are available, you must include it in the item description eg "This item will be awarded to the top 5 bidders!"

When bidding closes, a button will provide access to the list of items that are ready to be manually awarded. This button will display:

On the Auction Night > Online Tasks page (shown)
On the Dashboard
On the Catalog page > Admin View (shown)
On the Dashboard

Click the button to access the list of items:

Click links to access bid history of each item and award buttons:

Note that you may find a single bidder with more than one bid in the top X and may want to confirm whether they intended to win more than one before awarding.

Warning: if you have enabled "Send an email notification to winner when item is awarded" in the Online/Mobile Site Settings, it will likely be delivered before you can correct a mistaken award . . .
